Business Issue
JRJ Accountants Ltd aimed to create a more efficient office with a central file store and backup, and also wanted to improve both internal and external communications between the directors, staff, clients, suppliers and exteral agencies. As part of this efficiency drive, they also wanted to file returns to HM Revenue and Customs electronically, rather than manually, as they had been hitherto. Their initial aim was to electronically file tax returns by the 31st January deadline, and then each year before the May deadline to file P35 annual returns electronically enabling clients to receive the Government's £250 tax free online incentive. In the longer term they aimed to electronically file their clients' VAT and Corporation tax returns with HM Revenue and Customs, and to electronically file Annual returns to Companies House.
At this point, JRJ had limited hardware resources and to achieve their objectives they would need secure internet access.
Solution
BSS resolved their issue by installing a Microsoft Small Business Server 2003 to act as an internet gateway, email and file server, with necessary anti-virus protection and firewall. This was networked with additional PC's, printers and all required hardware.
Benefits
Tax returns were processed quickly and securely, protected by the server's integrated firewall. All users were provided with individual email accounts, with anti-virus software scanning. All data files were migrated from individual PC's to the server for instant access and an automated daily backup. Users benefited from a faster more efficient service and many clients have twice received the £250 incentive tax free from the Government as a result of the annual electronic filing of P35 returns.
