Sales Order Processing

With information available at the touch of a button, you are in complete control with the Sales Order Processing module. This means that you can quickly win the order at the right price. Full integration means you can process the order as efficiently and profitably as possible. Completely tailored to meet your exact requirements the Sales Order Processing procedures will help you make the sales.

  • The Multiple Document Interface enables more than one process to be run at once so you haven't got to shut everything down to enter an order when the phone rings
  • Powerful customer and product searches for fast access to customer details
  • Comprehensive credit information, such as over credit limit and overdue invoices
  • Customers can be placed on referred or stop status for effective debtor control
  • Details of a customers last purchase of the product being ordered can be displayed, showing date, quantity, selling price and margin
  • Handles bar code readers for fast EPoS sales as well as magnetic card readers for credit card transactions
  • Special prices can be set up by product, quantity, depot, buying group, and customer
  • Profit margins for each product can be displayed when creating an order as well as the margin for the whole order
  • Order or invoice documentation, delivery notes and picking lists can be printed immediately or in batches - All can be reprinted

Purchase Order Processing

The Purchase Order Processing module manages the information you need to help you purchase products at the right time and at the right price. Linking receipts & invoices to orders ensures quantities and prices are always kept under control.

  • Analyse supplier performance and identify preferred suppliers for each item you purchase
  • Examine average usage, economic order quantity, re-order level and quantity on order for each item when creating an order
  • Powerful supplier and product searches for fast access to order details
  • Reconcile orders, deliveries and supplier invoices to ensure the correct amounts of the products ordered are received and invoiced
  • Invoices can be disputed ensuring no payments are allocated against them until the dispute is resolved
  • The outstanding orders report can be used to chase suppliers before or after an order is due
  • The non-invoiced orders report will provide you with the details of all the invoices that you are due to receive

Stock Control

The Stock Control module contains very powerful procedures that enable you to have complete control over the management of your stock inventory. Any type of product code can be used - numeric, alphanumeric or alphabetic - which means that your existing codes can still be used, or you can make them as complex or as simple as you desire.

  • Stock items can be received, transferred, adjusted and issued according to your rules
  • Define alternative products to reduce lost sales
  • Default information such as sales and purchase nominal codes, base prices, units of sale and product group are easily defined
  • Bar code printing and processing is supported for stock control and EPOS retail systems
  • Stock valuation reports at standard cost, current and weighted average

Direct Debits & Direct Credits

eM1 makes it possible for you to set up Direct Debits and Direct Credits, enabling you to process receipts and payments effectively.

The integration with BACS (Bankers Automated Clearing Services) enables both yourself and your customers to use the Direct Debit and Direct Credit method of payment when purchasing your goods. On receipt of an account number, sort code and amount to be debited, BACS will automatically set up a Direct Debit to take place. You can control the payments being made by region or head office, for example, and failed direct debits can be reversed by a click of the mouse. eM1 can also handle the set-up of mandates via AUDDIS.

Fuel Cards

Fuel card processing can be fully integrated within eM1. Specific fuel card procedures allow you to efficiently maintain individual cards and products, prices per customer and the logging and invoicing of fuel card drawings. eM1 is compatible with all major fuel card types.

Fuel cards are ideal for businesses with a fleet of vehicles as their drivers can use them to pay for their fuel, therefore dispensing with the need for any cash transactions. The business would then be invoiced for the total value spent on all of their assigned fuel cards. Bunkering refueling is also an option for larger businesses. This is when the customer pays for a certain amount of fuel in advance and then uses the fuel card to draw fuel, which is effectively theirs already.

eM1 can give you complete control over your customers card accounts. It includes warnings of any unusual drawing habits and letters can be automatically printed for customers who have added new cards to their accounts, require replacement cards and for those whose cards are due to expire. Multiple reporting tools, including gross profit, card status and site reports by area/postcode are also carried out.

Signalman

"BSS was the first company to implement a fully integrated link of our Tank Signal System (Signalman) telemetry application into their system using our new 'Type 2' software over multiple servers, thus allowing orders to be automatically generated by nearly 7000 tanks, used under defined criteria.

Tim Clark - Sensor Systems Watchman Ltd

Signalman is a system devised by Sensor Systems Watchman Ltd, who are an award winning company based in Northern Ireland. In 1999, they were granted millennium status by the Design Council for their revolutionary Tank Signal System (Signalman).

The Tank Signal System allows fuel suppliers to monitor their customer's tank levels for them, resulting in fewer, more efficient road tanker journeys and avoids the chance of a run-out.

The system employs one or more PC's and modems to handle all incoming calls made by the Signalman device. This would regularly be checking the level of fuel in your customer's storage tanks. When the tank levels are low, eM1 automatically creates a new order and makes regular reports to you showing fuel levels and information on what orders have been made. It reports to you through a free phone call made to the Signalman device, which would simply be plugged into the customers direct dial telephone point along with their existing telephone or fax equipment.

Credit card processing can be fully integrated in eM1. Featuring pre-authorisation and an auto-processing facility the module helps avoid the duplication of effort and eliminates the risk of errors.

Boiler Maintenance

eM1 offers a complete contract module which covers all your boiler maintenance needs. The service incorporates both contracted and non-contracted customers and consists of several reports which make both the planner's and the engineer's jobs more efficient.

Reports include contracts to be renewed or serviced, missed services, job scheduling and many more, all of which contain full customer details and boiler location. Job scheduling allows you to allocate a job to a specific engineer. The engineer is then automatically informed of all the relevant information concerning the job.

Letters can be sent out at pre-determined dates to inform customers on when their current contract expires and is due for renewal.

Electronic Point of Sale (EPoS)

EPoS is a specific module that can be fully integrated in eM1. The quick and easy to use module has been designed for retail/counter sales and can incorporate barcode labeling and scanning and EFToPoS (Electronic Fund Transfer of Point of Sale).

Allowing for both account and cash customers the module also features an advanced stock control search.

Computer Based Training (CBT)

CBT is a great method of training your staff in using their new eM1 system. Each procedure is covered in the training and training plans can be compiled for each user so that they only have to learn the procedures that they will be using.

Reports on each individual's progression can be generated so that you can monitor staff progress. Providing a completely flexible learning method, CBT allows each individual user to work through their training plans at their own pace, allowing them to repeat the training or skim through the procedures that they are familiar with. Carried out in a time that suits you and for as long as you like, CBT provides a flexible and cost-effective method of training that can be used time and time again.
